1. About this policy

This policy sets out how sidespace collects, uses and discloses your personal information. Personal information is information about you that is personally identifiable like your name, address, email address, or phone number, and that is not otherwise available to the public.

If you disclose personal information to third parties this policy will not apply and you will be subject to the privacy policy of that third party. By accessing or using sidespace services you agree to the use and disclosure of your personal information in the manner described in this policy.

Words defined in the sidespace Terms and Conditions have the same meaning in this Privacy Policy.

2. What personal information is collected?

sidespace collects personal information that it considers necessary for it or its related bodies to provide the range of services they offer. Personal information collected by sidespace may include, but not be limited to:

• your name, address and contact details
• email addresses, phone numbers and physical contact information
• bank account and credit account details and financial information
• user IDs and passwords
• the services provided to you
• computer sign-on data, statistics on page views, traffic to and from sidespace and ad data
• records and content of communications with sidespace or any other person, including records and content using Communications Services (as defined in sidespace's Terms and Conditions). Such records and content may be stored and scanned by sidespace.
• other information, including users' IP address and standard web log information

3. How is personal information collected?

sidespace collects personal information in a number of ways, including:

• directly from you when you provide information to sidespace in person, by phone or in writing (whether electronic or otherwise)
• directly from you when you communicate with sidespace or any other person using sidespace Communications Services
• from third parties such as sidespace related companies, resellers of and service providers to sidespace, and operators of linked or served websites, applications and advertising on sidespace
• from organisations identified under “How is personal information disclosed?”

sidespace collects personal information when you register with sidespace, when you use sidespace, and when you visit sidespace pages or the pages of certain sidespace partners. sidespace may combine information about you that we have with information we obtain from business partners or other companies.

When you register we might ask for information such as your name, email address, post code, occupation, industry and personal interests. When you register with sidespace and sign in to our services, you are not anonymous to us.

sidespace collects information about your transactions with us and with some of our business partners. sidespace automatically receives and records information from your computer and browser, including your IP address, sidespace cookie information, software and hardware attributes and the page you request.

4. How is personal information used?

sidespace uses information for the following general purposes: to customise the advertising and content you see, fulfil your requests for products and services, improve our services, contact you, conduct research, and provide anonymous reporting for internal and external clients.

Your personal information may be used for the following purposes:

• to provide the services requested by you
• to manage those services, including customer service and billing
• to research, develop and improve sidespace services
• to conduct surveys to determine use and satisfaction with sidespace services
• to generate statistics in relation to sidespace

• for purposes connected with the operation of sidespace
• to personalise the advertising you see when you visit sites within sidespace

5. How is personal information disclosed?

sidespace may disclose personal information to individuals and organisations other than sidespace. The organisations to which we may disclose personal information include:

• sidespace staff and sidespace bodies corporate
• the public, if you advertise with sidespace or use publicly available Communications Services
• individuals and organisations that advertise with sidespace if you submit an enquiry — depending on your enquiry these may include private advertisers, commercial property developers, property owners, operators of Linked Sites, and financial, insurance and real estate service providers
• if you do not want sidespace to disclose your personal information to these individuals and organisations, please do not submit enquiries
• outsourced service providers who assist sidespace to provide its services, including resellers of sidespace services, information technology providers, marketing and market research advisers, and professional advisors
• organisations involved in a sale or transfer of sidespace assets, business or shares
• government and regulatory authorities as required by law

The Site, Application and Service can be used to facilitate the direct listing of commercial property available for lease. Ads are made available via the Site, Application and Service by owners. Ads posted by owners or on their behalf, and the profile information of owners and users, are visible to any sidespace user.

When you create a sidespace account, we will set up a profile page for you that includes your name and other details. You can select the other items of personal information you wish to include (“Profile Information”). We will display your profile information on your Ads publicly via the Site and Application and, with your prior permission, on third-party sites. Any information you choose to provide will be publicly visible to all sidespace users, so please consider how much you want other users to know about you and guard your anonymity and sensitive information carefully.

6. Ads

If you post an Ad, sidespace may publish that Ad publicly via the Site and Application and may enable third parties to publish your Ad on their websites through the use of an HTML “widget”. sidespace may also display the geographical location of your listing in the form of a map so that potential tenants can see the general area and neighbourhood of your listing.

How to access your personal information

You generally have a right to access your personal information. If you wish to access it, please contact us at the address at the foot of this document. Please provide as much detail as you can to help us find the information. There is no charge for this service.

7. What if you don't provide personal information?

If you choose not to provide personal information when requested, sidespace may not be able to provide you with the full range of sidespace services.

8. sidespace, Linked Sites and personal information

When you visit a website or use an application on sidespace, sidespace records anonymous information such as IP address, time, date, referring URL, pages accessed and documents downloaded, and type of browser and operating system.

sidespace also uses “cookies”. A cookie is a small file that stays on your computer until — depending on whether it is a sessional or persistent cookie — you turn your computer off or it expires (typically between 30 and 90 days). Cookies may be used by sidespace or by its service providers to provide the full range of services, remember your preferences and the sites you visit on sidespace, measure and analyse usage, and for security. Persistent cookies may be used to identify the sites you visit and to personalise the advertising you see on future visits. You may adjust your internet browser to disable cookies; if cookies are disabled, sidespace may not be able to provide you with the full range of services.

Cookies may collect and store your personal information, and this policy applies to information collected via cookies. sidespace may include links to third-party websites, co-branded sites and applications, and advertising served by third parties (Linked Sites). Companies operating Linked Sites may collect personal information through cookies and otherwise. sidespace is not responsible for Linked Sites and recommends you read their privacy policies before disclosing your personal information. sidespace's Site and Application may contain electronic images known as Web Beacons, used along with cookies to compile aggregated statistics on how the Site and Application are used, and in some emails to let us know which emails and links have been opened. This helps us gauge the effectiveness of our customer communications and marketing campaigns.

9. General

sidespace may update this policy at any time, with updates taking effect when you next use the Site or after 30 days, whichever is sooner. If sidespace or our corporate affiliates are involved in a merger or acquisition, sidespace may share personal information with another company, but this policy will continue to apply.
